1. Who we are

AutoShopRep is operated by Oxionz LTD, a company registered in the United Kingdom, at 27 Old Gloucester Street, London WC1N 3AX, United Kingdom ("we", "us"). This policy explains how we handle personal information when you use autoshoprep.com, contact us, or use our services.

2. Information we collect

• Details you give us: such as your name, workshop name, mobile number, email, suburb and anything you tell us in a form, call, text or email.
• Website data: such as your device, browser, pages viewed and how you arrived, collected by our hosting and analytics tools.
• Service data: when a workshop uses our AI Receptionist or review tools, we process information about that workshop's callers and customers (for example call recordings, transcripts, names, phone numbers and booking details) on the workshop's behalf.

Please don't send sensitive information (such as health or financial details) through our enquiry forms.

3. How we use information

• To respond to enquiries, run your free shop audit and arrange appointments.
• To provide, support and improve our services, including answering calls, booking jobs and sending review requests for our clients.
• To send you service messages and, where you have agreed, marketing messages. You can opt out of marketing texts at any time by replying STOP, or by emailing us.
• To keep our website and systems secure and to meet our legal obligations.

4. Calls handled by our AI Receptionist

Calls answered by our AI Receptionist for a workshop may be recorded and transcribed so the workshop can follow up and so we can improve call quality. The workshop is responsible for telling its callers about this where the law requires. If you called a workshop and have a question about your information, please contact that workshop first. We will help them respond.

5. Review requests

We send review requests by SMS or email on behalf of workshops, only to their genuine customers after a real job. We never buy, write or incentivise reviews. Customers can opt out of review requests at any time by replying STOP.

6. Service providers and disclosure

We share information only with trusted providers who help us run our business, such as website hosting, CRM and form tools, telephony and AI voice providers, SMS and email delivery, and analytics. Some providers store or process information outside Australia, including in the United Kingdom, the United States and the European Union. We take reasonable steps to make sure they protect it. We don't sell personal information.

7. Cookies and tracking

Our website uses cookies and similar tools to make the site work, understand how it's used and measure our advertising. You can block cookies in your browser, but parts of the site may not work properly.

8. Storage and retention

We use reasonable security measures to protect information from misuse, loss and unauthorised access. We keep information only as long as we need it for the purposes above, or as the law requires, then delete or de-identify it.

9. Access, correction and complaints

You can ask to see or correct the personal information we hold about you. If you have a privacy complaint, contact us first and we will respond within a reasonable time. If you're not satisfied, you can contact the relevant regulator, such as the Office of the Australian Information Commissioner (oaic.gov.au) in Australia or the Information Commissioner's Office (ico.org.uk) in the United Kingdom.
